SUPPORT PLAYBOOK

Troubleshooting Based on Common Historical Support Patterns

The historical support log contains 1,003 support records. It is useful for anticipating the questions merchandisers may bring to MAX, but it does not prove that MAX has the same defects. The guidance below translates those recurring support patterns into the current MAX for Brands – Merchandiser Android app, including the new phone setup helper, ID/passport sign-in, geofence, sync, attendance, task, stock, and approval workflows.

Historical categoryMAX support implication
Clock-in issuesPrioritise app location permissions, Precise Location, the Phone setup helper, store assignment, geofence configuration, and connectivity checks.
Time updatesCheck workday state, active visits, Check Out, End Work Day, and the Week/Month Timesheet before routing corrections to the agency/admin team.
Kickouts / interrupted visitsCheck Samsung battery/background setup, auto-launch, Recents lock, Location always, connectivity, and the current sync state before creating another visit.
Login issuesVerify the merchandiser is using the installed official app and signing in with the correct ID or passport number against an active back-office profile.
Sync issuesUse the Today sync badge, restore connectivity, retry the failed sync, and confirm the original action was not already recorded before repeating it.
Timesheet queriesUse Week and Month views to capture the affected date and totals, then route approved attendance corrections with supporting evidence.
Use this playbook as support guidance, not as proof of a MAX defect. First confirm the app version, phone setup, permissions, connectivity, user/store configuration, and the actual back-office record before escalating.
Step 27 · Admin Setup

Set a Missing Store Pin from Manage Customers

NEW

Admin users can now set a store location directly from Manage Customers when the Location column shows No Pin.

How to use it

  1. Go to Customers → Manage Customers.
  2. Find the store and check the Location column. A store without coordinates is shown as No Pin.
  3. Click No Pin for the store.
  4. In the location modal, either find the store location using Google Maps or use the geo-coordinates from the rep’s latest check-in at that store.
  5. Review the proposed location carefully before saving it. A successfully configured store is shown as Pinned.
Why this matters: The store pin is used by the merchandiser check-in/geofence workflow. A missing or incorrect pin can prevent an otherwise valid store check-in.

Step 28 · Admin Setup

Bulk Fill Missing Store Pins from Rep Check-ins

NEW

The Fill Pins action allows admins to bulk set stores with missing pins by using the latest usable rep check-in coordinates.

How to use it

  1. From Customers → Manage Customers, click Fill Pins in the top-right area.
  2. Review the summary showing stores without pins, stores with a usable check-in and stores with no usable check-in.
  3. Review each proposed pin and the From check-in information before selecting it.
  4. Pay special attention to rows flagged Unusual. These check-ins may be far away from the rest and should be reviewed before inclusion.
  5. Select only the stores you are comfortable updating, then click Set pins.
  6. Existing store pins are not overwritten by this bulk action.
Safety check: Do not bulk-apply an unusual or obviously incorrect check-in location just because coordinates are available. Review the store and rep check-in first.

Add an EAN Barcode Number to a Product

NEW

Products now include a Barcode (EAN) field. The EAN is needed for the merchandiser barcode scanner to automatically identify the correct product during ranging.

MAX dashboard Edit Product modal with Barcode EAN field under Product Info
Edit Product · Barcode (EAN) field · Click screenshot to enlarge

How to use it

  1. Go to Products → Manage Products and open the product you need to edit.
  2. Under Product Info, locate the Barcode (EAN) field.
  3. Enter the EAN barcode number that matches the barcode printed on the physical product.
  4. Save/update the product record using the normal product-management workflow.
  5. Once the correct EAN is stored, the merchandiser app can use the ranging barcode scanner to identify that product automatically.
Important: A missing or incorrect EAN breaks the scanner match. If a rep scans a product and nothing is identified, verify the product’s Barcode (EAN) value before treating it as an app defect.

  2. Stand near the store entrance or another area with clear GPS reception and wait 30–60 seconds.
  3. Confirm Location, Precise Location, Phone setup helper, and internet access.
  4. Reopen the store check-in screen and allow the location check to finish.
  5. Capture a screenshot showing the store, distance/geofence result, and time.

Support or admin checks

  1. In Manage Customers, check the store’s Location status and geofence configuration.
  2. If the store shows No Pin, click it and set the location using Google Maps or the rep’s latest check-in coordinates for that store.
  3. For multiple stores with missing pins, use Fill Pins and review every proposed coordinate before applying it.
  4. Do not include check-ins flagged as Unusual without checking whether the location is credible for that store.
  5. Confirm the correct store is assigned to the user and schedule before editing attendance or store setup.

Visit Ended Unexpectedly or the User Was “Kicked Out”

S09

Typical symptom: The active store disappears, MAX returns to a non-checked-in Today state, or the visit ends before work is complete.

Merchandiser / first-line checks

  2. Restore internet access and check the sync badge.
  3. Do not end the workday just because a visit was interrupted.
  4. Avoid creating several replacement visits.
  5. Rerun Phone setup helper if battery/background restrictions may have closed MAX.

Support or admin checks

  1. Review the audit trail for check-in, check-out, sync failure, and any second visit.
  2. Correct attendance only after comparing the schedule, evidence, and timestamps.
  3. Confirm battery Unrestricted, auto-launch, Recents lock, and Location always were completed on the device.
